30-Second Promotional Video Contest

The Suffolk County Film Commission invites you to enter our contest and produce a 30-second promotional video spot that shines a light on all of the positive aspects of filming in Suffolk County - friendly people, businesses, local government and our incredible locations!

The Grand Prize winner will have their video run on WVVH Hamptons TV plus receive a Hamptons International Film Festival Filmmakers Discovery Package.

First through fifth place prizes consist of one $500 P.C. Richard & Son gift certificate, one Theatre Three subscription for two, one one-year Atlantis Marine World membership and shark dive, and two tickets to the Islip Arts Council 2009/2010 Chamber Music series. Important Contest Information:

  • Contest begins at 12:00 pm Eastern Time (ET) on 8/1/2009 and runs through 5:00 pm ET on 9/25/2009.
  • Open to residents of the U.S. who are 16 years of age or older as of date of entry.
  • The names of the winners will be posted at www.facebook.com/suffolktime after 10/20/2009.
  • Entries must include a comprehensive list of sources (if applicable).

Video requirements:
Videos will not be considered for judgment if they do not meet the requirements or are received after the submission date.

1. HOW TO ENTER: To participate in the “Scene in Suffolk” 30-second promotional video Contest (“Contest”) beginning 12:00 p.m. Eastern Time (“ET”) 8/01/2009 through 5:00 p.m. ET on 9/25/2009 (“Contest Period”), you may submit a video depicting a Suffolk County location that captures the theme “Scene in Suffolk”. To submit your video (the “Entry”), visit www.suffolktimeyourtime.com to complete the registration form and follow the instructions on how to submit your Entry. In order to complete your Entry, you must click on the disclaimer box provided to acknowledge you have read these Official Rules and attest that: (i) the video you submitted is your own original work; (ii) video is solely owned by you; (iii) you are giving Suffolk County and their advertising, promotion and public relation agencies permission to use the video in the Contest; and (iv) you have obtained permission to submit this video from any people that may be depicted in the video. Contest ends at 5:00 p.m. ET on 9/25/2009.

2. IMPORTANT INFORMATION FOR ALL ENTRIES: Entries that do not contain the required information will not be accepted. Entries should be no more than 30 seconds; Entries must be sent online through the submission form at www.suffolktimeyourtime.com; Include a comprehensive list of sources (if applicable);

Videos must be saved as either QuickTime .MOV, Windows .AVI, .WMV, or .MPG files. If your ad is picked as a winner, we'll use the full resolution version for broadcast on TV. So make sure you keep your high resolution version in case you win! You'll be able to start posting submissions on this site beginning on 8/1/09 through 9/25/09; online voting to pick the finalists will take place from 9/28/09 through 10/2/09. Each video must be the original work of entrant and must be owned by entrant. Modifying, enhancing or altering a third party's pre-existing work does not qualify as entrant's original work. The video must not have been submitted in any other competition or previously published. Entry must be in keeping with Sponsor's image and may not be offensive, as determined by Sponsor in its sole discretion, nor can it defame or invade publicity rights or privacy rights of any person, living or deceased, or otherwise infringe upon any person's personal or proprietary rights. Any entrant whose video includes the likeness of a third party or any Entry that contains elements not owned by the entrant (including, but not limited to, trademarks or logos) may be required to provide a legal release for such use, including Sponsor's use of such Entry, in a form satisfactory to Sponsor. Entries and any materials submitted in connection with such Entries will not be returned to participant.

3. JUDGING: All eligible Entries will be judged by a panel of expert judges determined by Sponsor, to determine one Grand Prize winner and Five Honorable Mention Prize winners, based on the following judging criteria: How accurately video communicates the theme (40%); production values (30%); and suitability of location for production use (30%). In the event of a tie, tied entrants will be re-judged, based solely on how accurately video communicates the theme. Winners will be notified on or about 10/14/2009. Sponsor will make three (3) attempts to contact the potential winners via phone within 48 hours from the time winner selection is accomplished. If Sponsor is unable to reach any potential winner via phone within this time frame, he/she will be disqualified and an alternate will be determined. Potential Grand and Honorable Mention Prize Winners (or their parent or legal guardian if potential winner is a minor) will then be required to sign and return an Affidavit of Eligibility, Release of Liability/Publicity Release (except where prohibited by law) within three (3) days of notification attempt or the Grand or Honorable Mention Prize (as applicable) will be forfeited and alternate winner may be determined. Affidavit package will be mailed via overnight mail with a pre-paid overnight return envelope included or sent via email. Return of any prize or prize notification as undeliverable may result in disqualification and alternate determination. By participating, entrants agree to the Official Rules and the decisions of the judges, which shall be final and binding in all respects. Judges may disqualify videos that have won previous awards or competitions. Entries will not be acknowledged or returned. Entrants and winners acknowledge and agree that their Entries become the property of the Sponsor, which thereby has the right to adapt, modify, reproduce, promote and otherwise use entries in any way it sees fit. Acceptance of any prize constitutes permission to use winners' names and likenesses and Entries without further compensation, except where prohibited by law and as otherwise provided herein. No information regarding Entries or judging will be disclosed.

4. PRIZES AND APPROXIMATE RETAIL VALUES (“ARV”): TBA

Grand Prize – Winning spot to run 100x on WVVH Hamptons Television between October 2009 – December 2009 plus Hamptons International Film Festival Filmmakers Discovery Package which includes 6 tickets to any General Screening or Panel (may select up to 2 tickets per Screening or Panel) and Invitation to Saturday Night Filmmakers’ Party (Please note: the Filmmakers Discovery Package does not include Spotlight or Special Presentations) (ARV: $7,625)
First Honorable Mention Prize – $500 P.C. Richard & Son gift certificate (ARV: $500)
Second Honorable Mention Prize – Subscription for two to Theatre Three 2009/2010 Season (ARV: $300)
Third Honorable Mention Prize – One-night stay at Best Western East End, Riverhead and Atlantis Marine World couples membership for one year and shark dive (ARV: $325)
Fourth Honorable Mention Prize – Two complimentary tickets to Islip Arts Council 2009/2010 Chamber Music series and opera glasses (ARV: $75)

Prizes are subject to any additional restrictions/expiration dates set forth for specific prize. Transportation to/from any event is not included. Prizes will be awarded as permitted by law and will be awarded provided a sufficient number of eligible entries are received. Prizes are not transferable; no substitutions or cash equivalents are allowed except by the Sponsor who reserves the right to award a prize of equal or greater value if advertised prize is unavailable. Taxes, if any, related to the prize are the responsibility of the individual winners. No responsibility or liability is assumed for damages, losses or injury resulting from acceptance or use of any prize. All other expenses and costs not expressly listed above are the winner's sole responsibility. Limit one prize per person/family/household.

5. ELIGIBILITY: Open to residents of the U.S., who are 16 years of age or older as of date of entry. Employees of Suffolk County, ANEW Marketing, Sanna Mattson MacLeod, Inc., their respective parent, affiliates, subsidiaries, officers, directors, advertising and promotion agencies, their immediate family members and/or those living in the same household (whether or not related) of each are not eligible. This offer is void wherever prohibited and subject to all federal, state and local laws.

6. GENERAL RULES: In the event of a dispute regarding any Entry, that Entry will be deemed made by the authorized account holder at the time of the entry submission. By participating in this Contest, entrants agree to be bound by the official rules and the decisions of the judges. The Sponsor and its agencies are not responsible for technical, hardware, software or telephone malfunctions of any kind, lost or unavailable network connections, or failed, incorrect, incomplete, inaccurate, garbled or delayed electronic communications caused by the user or by any of the equipment or programming associated with or utilized in this Contest or by any human error which may occur in the processing of the online entries in this Contest. The Sponsor reserves the right at its sole discretion to disqualify any individual that tampers or attempts to tamper with the entry process or the operation of the Contest or web site; violates the official rules; or acts in an unsportsmanlike or disruptive manner, or with intent to annoy, abuse, threaten or harass any other person. Any attempt by any person to deliberately undermine the legitimate operation of the Contest may be a violation of criminal and civil law, and, should such an attempt be made, Sponsor reserves the right to seek damages from any such person to the fullest extent permitted by law. Sponsor's failure to enforce any term of these Official Rules shall not constitute a waiver of that provision. The Sponsor reserves the right, at its sole discretion, to cancel, terminate, modify or suspend the Contest if it is not capable of running as planned, including, but not limited to, infection by computer virus, tampering, unauthorized intervention, fraud, technical failures or any other problems beyond the control of the Sponsor and award prizes from among all eligible online Entries received prior to cancellation.

7. RESPECT FOR EXISTING COPYRIGHT: You must be the original author of everything in your video or have permission to use copyright protected material. If you're thinking about using existing music, video clips, or photos, it is likely that someone else owns a copyright to that material and you will need to get the copyright owner's permission before using the material in your video. You will need both a master use license and a sync release for pre-recorded music. Some musicians make their music available under a Creative Commons license that would allow you to use it in your video for free. You can find more information on that option at http://creativecommons.org/legalmusicforvideos. All entrants will be required to declare that they have consent from any people appearing in their videos.

8. RELEASE: By entering the Contest, you hereby grant the Sponsor, its affiliates, subsidiaries, assigns, licensees, and legal representatives and its advertising, promotion and public relation agencies (“Contest Agencies”) the unrestricted, absolute, perpetual, worldwide right (but not the obligation) to use, copy, modify, edit, create derivative works, display, transmit, perform, distribute, publish, exhibit and otherwise use the submitted Entry in any and all media or form of communication, whether now existing or hereafter developed, including on Sponsor’s Websites or those websites owned by Sponsor or Contest Agencies, their affiliates or anyone acting with Sponsor’s authority, all for the purpose of publicizing the Contest. Winners waive any right to royalties or other compensation arising from or related to the use of the Entries. Winners must acknowledge Sponsor’s right to crop, splice, treat and edit the Entries at its sole discretion and waive the right to inspect or approve the finished product, now and in the future, whether that use is known or unknown to winner. Sponsor reserves the right to discontinue the use of the Entries without notice to the winner. You represent and warrant that: (i) all rights to the video belong to you and the video does not and shall not infringe on any copyright or any other third party right nor violate any applicable law or regulation, (ii) you have the right to grant any and all necessary rights and licenses provided herein, including without limitation, all necessary copyright and other related rights to the video, free and clear of all claims and encumbrances without violating the rights of any person or entity, including any right to privacy or publicity, (iii) you hereby hold the Sponsor and its Contest Agencies harmless from and against any third party claim arising from use of the video and you waive any right to inspect or approve uses of the video or to be compensated for any such uses. Participating in the Contest constitutes permission to the Sponsor and its Contest Agencies to use participants’ names, voice, likeness, age, city, state and/or image and video for purposes of advertising and trade without further compensation, unless prohibited by law. By participating in the Contest, the entrant agrees that Sponsor, its respective parent, subsidiaries, affiliated companies, agents, retailers, advertising and Contest agencies, and all of their respective shareholders, officers, directors, employees and assigns, members, representatives and agents, will have no liability whatsoever for, and will be held harmless by entrant for any liability for any bodily injury, loss or damages of any kind to persons, including death, and property, due in whole or in part, directly or indirectly, from Entry creation, the acceptance, possession, use or misuse of the prize, if applicable, or participation in this Contest or participation in any Contest related activity. You hereby waive all rights and release Sponsor and Contest Agencies from any claim or cause of action, whether now known or unknown, for defamation, invasion of right to privacy, publicity or personality or any similar matter, or based upon or relating to the use and exploitation of the Entries as contemplated herein, or use in composite form, either intentionally or otherwise, that may occur or be produced in production of the finished product. You hereby represent and warrant that you have read these rules and are fully familiar with its contents.
